Meet with Sheila Walker with City of College Station to confirm event date.
File activity permit with Student Activities
Start looking into possible sponsorships or donations.
Begin contacting prospective participants and exhibitors
Once event date is confirmed, get on calendars – city of Bryan and CS, TAMU, radio, TV stations
Discuss any new ideas/suggestions for BioBlitz
By November:
Begin contacting possible survey team leaders
Have all promotional materials (flyers, psas, t-shirts) ready to go to print
Decide if we want to sell T-Shirts or other promotional items and get concessions permit from StuAct
Promote event to professors as extra credit opportunity for volunteers– must be done before spring syllabus is made!
Look into additional free or cheap advertisement options
Contact TAMU EMS to schedule them for event
By January:
Send promotional materials to print
Contact CSISD for permission to distribute flyers on campuses
File any permits with City if needed (camping, tent, etc) – may need to be done earlier, confirm with Sheila
Confirm all outside exhibitors and participants
Have each team leader confirmed and find out what supplies each will need. Begin forming survey teams.
Develop site plan
By March 1st:
Bundle flyers to be sent out to school
Flyers out to schools and psa’s out to local organizations, tv, etc
Confirm any materials, permits, site plan, etc with the city
Volunteer sign up
Confirm Schedule of events (to a point – some, such as BRASS, we won’t confirm until few days before due to weather)
No Horses Sign up at LCP
By March 15th
Make volunteer schedule
Have volunteer food ordered or planned out
Have all registration/sign-in sheets printed
